About the role

We are a short-term rental (STR) host operating a vacation rental property in Michigan City, Indiana. The property is managed remotely from California, and we are looking for a dedicated, full-time Virtual Assistant to help us deliver an exceptional guest experience around the clock.

The primary focus of this role is covering the overnight communication gap — approximately 11 PM to 8 AM Pacific Time — when the owner is offline. During this window, you will be the first point of contact for guests, handling urgent messages, resolving issues, and ensuring every guest feels taken care of. When guest communications are quiet, you will work on business optimization tasks such as pricing adjustments, spreadsheet management, and operational improvements.

We are looking for someone who can be an extension of the owner — not just a task-follower, but someone who brings STR experience, spots operational gaps, and suggests improvements.

What you'll be doing

Overnight Guest Communications — Serve as the primary point of contact for guests during the 11 PM–8 AM Pacific window. Respond to messages promptly, resolve issues (maintenance, check-in/check-out questions, noise complaints, emergencies), and escalate to the owner only when necessary.

Guest Experience Management — Ensure every guest interaction reflects a high standard of hospitality. Handle inquiries, provide local recommendations, coordinate with cleaning and maintenance teams as needed, and manage guest reviews and feedback

Pricing & Revenue Optimization — Use PriceLabs and other pricing tools to monitor and adjust nightly rates based on demand, local events, and competitor analysis. Help maximize occupancy and revenue during peak and off-peak seasons.

Operational Task Management — During quieter periods, work on business optimization tasks including Google Sheets data entry and analysis, calendar management, listing optimization, and completing operational tasks assigned by the owner.

Daily Communication & Reporting — Provide a daily summary of overnight activity — guest messages handled, issues resolved, tasks completed. Maintain clear, consistent communication with the owner and flag anything that needs attention.

What we're looking for

Required:

• Experience in short-term rental (STR) management, vacation rental hosting, or hospitality guest communications

• Perfect written and verbal English — you will be communicating directly with guests

• Strong sense of urgency and fast response times — guests expect quick, professional replies

• Proficiency with Airbnb (or similar platforms) messaging and booking management

• Familiarity with PriceLabs or similar dynamic pricing tools

• Comfortable working with Google Sheets and basic data management

• Full-time availability (40 hours/week) with 7-day coverage and one day off per week

• Ability to work the overnight shift: approximately 11 PM–8 AM Pacific Time

• Proactive, self-directed, and able to work independently with minimal supervision

Nice to Have:

• Prior experience managing STR properties on behalf of remote owners

• Knowledge of revenue management strategies for vacation rentals

• Experience with property management systems (Guesty, Hospitable, OwnerRez, etc.)

• Prior remote work experience with US-based clients

Schedule & Compensation

Hours: Full-time — 40 hours/week

Schedule: 7-day coverage with 1 day off (Sundays preferred). Primary shift: 11 PM–8 AM Pacific Time. Flexibility to work 9 AM–6 PM as needed.

Work Arrangement: 100% Remote

Compensation: $1,100–$1,200 USD/month (based on experience)

Engagement Type: Independent Contractor (direct hire — you work directly with the owner)

Location: Latin America (preferred) or Philippines
