Part-time Executive Assistant or Chief of Staff - Residential Assisted Living Industry

We are seeking a highly organized and proactive Executive Assistant (EA) to support an entrepreneur in the residential assisted living industry. This role is a mix of business operations, project management, and personal assistance. The ideal candidate will be detail-oriented, able to manage multiple priorities, and a strong communicator.
• Oversee real estate acquisition tasks for a residential assisted living home, ensuring reports, permits, and contracts are completed on time.
• Track and manage essential tasks, including environmental reports, zoning surveys, financing requirements, and contract negotiations.
• Act as a point of contact for vendors, lenders, and service providers, coordinating communications and follow-ups.
• Assist with billing, payroll, and operational setup for the facility once it is launched.
• Maintain a running checklist of all ongoing projects, ensuring nothing falls through the cracks.
• Organize and manage daily schedules, ensuring deadlines and appointments are met.
• Oversee email inbox management, filtering messages and prioritizing critical communications.
• Handle family scheduling, including kids’ activities, meal planning, and grocery orders.
• Coordinate travel arrangements, calendar management, and general administrative tasks.
• Act as a strategic partner, identifying challenges and proactively presenting solutions.
• Research and recommend options for business operations, vendors, and service providers.
• Ensure smooth communication with team members and stakeholders by providing timely updates and summaries.
• Make phone calls on behalf of the executive when necessary, ensuring professional and effective communication.
Bookkeeping Assistance
• Manage personal and business financial records, ensuring accuracy and timely updates.
• Oversee bookkeeping tasks, including expense tracking, reconciliations, and financial reporting.
• Assist with budgeting, financial planning, and coordinating with accountants or tax professionals.
• Ensure timely payment of invoices, payroll, and other financial obligations.
• Experience as an Executive Assistant, Chief of Staff, or similar role.
• Experience in real estate, property management, healthcare, or assisted living is a plus.
• Highly organized with strong attention to detail.
• Excellent written and verbal communication skills in English.
• Proactive problem-solver who takes initiative and can work with minimal supervision.
• Familiarity with project management tools, Google Workspace, and email management systems.
• Ability to work full-time in Eastern Time (EST).
